Privacy Policy

DonatorHive (“DonatorHive,” “we,” “us,” or “our”) provides a donor-management and fundraising platform for nonprofit organizations (“Organizations,” “you,” “your”). This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices available to you.

This policy applies to:

  • Organizations that create a DonatorHive account
  • Individuals who make a donation through a donation page hosted on DonatorHive (“Donors”)
  • Visitors to donatorhive.com

By using DonatorHive, you agree to the collection and use of information as described in this policy.

1. Information We Collect

From Organizations

When you create and use a DonatorHive account, we collect:

  • Organization name, address, and contact information
  • Name, email address, and password of the person(s) managing the account
  • Billing information (processed and stored by Stripe, not by DonatorHive directly — see Section 4)
  • Information you upload into the platform, including donor records, contact lists, and CSV imports
  • Information provided when connecting a Stripe account through Stripe Connect, including business details required by Stripe for identity verification

From Donors

When someone makes a donation through a DonatorHive-powered donation page, we (and our payment processor, Stripe) collect:

  • Name, email address, and donation amount
  • Payment card or bank information (collected and processed directly by Stripe — DonatorHive does not store full payment card numbers)
  • Billing address, if provided at checkout

Automatically Collected Information

When you visit donatorhive.com or use the platform, we automatically collect:

  • IP address, browser type, device information
  • Pages visited, time spent, and general usage patterns
  • Cookies and similar tracking technologies (see Section 7)

2. How We Use Information

We use the information we collect to:

  • Create and maintain Organization accounts
  • Process subscription payments and donations
  • Generate donation receipts and confirmation emails
  • Provide customer support
  • Send administrative and service-related communications (e.g., billing notices, security alerts)
  • Improve and maintain the platform
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations

We do not sell personal information to third parties, and we do not use donor or Organization data for third-party advertising purposes.

3. How Information Is Shared

We share information only as necessary to operate the service:

With Stripe (Payment Processing). Stripe processes all subscription billing and donation transactions on our behalf. When you provide payment information, Stripe receives and processes that information in accordance with the Stripe Privacy Policy. Stripe may also obtain information from credit and identity verification agencies as part of onboarding Organizations for payment processing, in accordance with Stripe’s own privacy practices.

With Organizations. If you are a Donor, the Organization you donate to will have access to your name, email address, and donation history through their DonatorHive dashboard, so they can manage their donor relationships and issue tax receipts.

With Service Providers. We use third-party vendors to operate the platform, including:

  • Database and hosting infrastructure providers
  • Email delivery services (for receipts, notifications, and account communications)
  • File storage providers (for uploaded documents and CSV imports)

These providers are contractually restricted from using your information for any purpose other than providing services to DonatorHive.

For Legal Reasons. We may disclose information if required by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect our rights, prevent fraud, or ensure the safety of our users.

Business Transfers. If DonatorHive is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will notify you of any such change.

4. Stripe and Payment Data

DonatorHive uses Stripe, Inc. to process all payments, including Organization subscription fees and Donor contributions. Stripe acts as our payment processor and, where applicable, as the platform enabling Organizations to receive funds through Stripe Connect.

When you provide personal data in connection with DonatorHive’s payment and donation features, Stripe receives that personal data and processes it in accordance with the Stripe Privacy Policy.

  • DonatorHive does not store full credit card, debit card, or bank account numbers.
  • When you submit payment information, it is transmitted directly to Stripe and handled according to the Stripe Privacy Policy linked above.
  • Organizations connecting a Stripe account through Stripe Connect authorize Stripe to collect identity and business verification information directly from them, which Stripe uses in accordance with its own privacy and underwriting practices. Our payment processor can obtain information from credit agencies to verify your identity, and that information is used for the purposes described in Stripe’s Privacy Policy.
  • DonatorHive is not responsible for Stripe’s independent handling of your data once it is transmitted to Stripe, but we require that Stripe maintain industry-standard safeguards as a condition of our platform agreement with them.
  • DonatorHive will not use an Organization’s connected account data for any purpose beyond providing the DonatorHive platform and payment services, unless we obtain that Organization’s consent first.

5. Data Retention

We retain Organization and Donor information for as long as an account is active, and for a reasonable period afterward to comply with legal, tax, and accounting obligations (including donation receipt recordkeeping typically required for several years under IRS guidance). If an Organization cancels its account, we retain donor records for 90 days to allow for data export, after which the data is deleted unless retention is required by law.

6. Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information, including the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information, subject to our legal recordkeeping obligations
  • Opt out of non-essential communications

California residents may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what categories of personal information are collected and the right to request deletion. DonatorHive does not sell or share personal information for cross-context behavioral advertising.

7. Cookies and Tracking

DonatorHive uses cookies and similar technologies to:

  • Keep you logged in to your account
  • Remember preferences
  • Understand how the platform is used, to improve it
  • Track which sales representative referred a signing Organization, where applicable, via a referral parameter stored temporarily during the signup process

You can control cookies through your browser settings. Disabling cookies may affect the functionality of the platform, including your ability to stay logged in.

8. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Children’s Privacy

DonatorHive is intended for use by nonprofit organizations and adult donors. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected such information, we will delete it.

10. International Users

DonatorHive is operated in the United States. If you access the platform from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page with a revised “Last Updated” date. Material changes will be communicated to Organizations via email or in-app notice where appropriate.
